Before anything else

Built to be trusted with your WhatsApp

Giving any tool access to your WhatsApp is a real decision. These are design rules, built into how Ketchup stores and moves data, not settings that can be switched off.

Never stores what your messages say

For each message, Ketchup keeps only whether it was sent or received, when, how many characters it had, and WhatsApp's message ID. Its database has no field for message text.

Text is held in memory for a few seconds during a sync, for three narrow checks:

  • the advert a customer clicked;
  • a portal listing reference;
  • short codes you type, like _Appointment_.

Then it's discarded.

Never sends a message for you

Ketchup tells you who to message and opens the chat in WhatsApp. You write and send every message yourself.

There are no automated replies, no broadcasts and no follow-up sequences, so your customers only ever hear from you.

Privacy matters

Everything you keep in Ketchup is private to your own account: your ad results, your deal progress, your notes about each buyer and more. You see it when you're signed in, and no other users can.

That's enforced by the database itself, not just by what the screens show.

The problem

The leads are there. They get lost in the scroll.

A busy agent's WhatsApp holds hundreds of conversations: new enquiries from ads and portals, customers mid-viewing, bookings waiting on documents, bankers, co-broke agents. WhatsApp sorts them by whoever spoke last, which isn't the same as what needs you today.

  • Enquiries go unanswered. A new lead messages during a viewing, gets pushed down by twenty other chats, and is never answered.
  • Follow-ups are forgotten. "Let me check with my wife and get back to you" goes quiet. Nobody notices until the customer has bought elsewhere.
  • Commission goes unclaimed. A booking is made, but the loan, signing or case submission stalls with no one chasing it, and the payout never comes.

Connect your own WhatsApp

Ketchup connects to your own WhatsApp Business number through Meta's WhatsApp Business Platform. You keep chatting in WhatsApp exactly as before. Ketchup reads the pattern of the conversation, not its words.

Sort new contacts once

New chats land in Triage. Tag each one as a lead for a project, subsale or rental, or as a banker, co-broke agent or contact who isn't a lead. Leads from a registered ad or portal listing are linked to it automatically.

Work the Reminders screen

Every day, Ketchup works out from message timing who is waiting on you and what has gone quiet. Tap a name to open the chat in WhatsApp, write your reply, and the list updates itself.

Waiting on my reply

Everyone whose last message you haven't answered, split into brand-new enquiries you've never replied to and ongoing chats where it's your turn.

Gone quiet, and chased

Enquiries that vanished after their first message, conversations that stalled, and leads you've already chased several times with no reply, each in its own list.

Follow-up dates that hold

Set a date and the lead disappears from every list until then, into "Following up later". If they message you first, it comes straight back.

Appointments from your own words

Type _Appointment_ Sat 3pm in your WhatsApp and Ketchup proposes a viewing for you to confirm. Nothing is recorded until you tap confirm.

Every deal, enquiry to commission

Each case moves through booking, loan, signing, stamping and conversion. Ketchup reminds you of the step that's due: bank in the booking fee, chase the missing documents, check whether it's ready for payout.

Loans by banker

Each banker is listed with every case they're holding and how long it has sat in its current status, flagged when it's stuck. Letters of offer waiting to be sent on are flagged too.

Commission you're still owed

Expected commission per deal, including payouts in several parts, with how late each one is, so a claim is never left unsubmitted.

Which ads actually bring leads

Every lead from a click-to-WhatsApp ad is linked to that ad. You see each ad's lead count, when it last brought one, and which have gone quiet, then trace each lead through to booking.

Ketchup is built for negotiators and agents who run paid ads or portal listings and get more WhatsApp enquiries than they can keep in their head. It covers project sales, subsales and rentals, including co-broke deals, buyers who deal through a representative, and the loan process with several banks at once.

If you get a handful of enquiries a week, WhatsApp on its own is probably enough. Ketchup earns its place once it isn't.

Who's behind it

Built by a practising agent, for agents

Ketchup is built and operated by CarrotProperty Sdn Bhd, a Malaysian property company. It was written by a practising property agent to run their own enquiries, after losing too many leads and late commissions to a crowded WhatsApp.

Every feature on this page exists because a real case went wrong without it. CarrotProperty uses Ketchup for its own enquiries today.
